Wu's Healing Center, a traditional Chinese medical center is growing and is looking for a versatile Front Desk Administrative Assistant with a wide range of skills. This part-time position works an eight-hour shift from approx. 10:00 a.m. – 7:00 p.m. (the starting time may vary as needed), Monday, Wednesday and Friday, for a total of 24 hours per week.
Our ideal candidate loves to multi-task, enjoys managing a variety of responsibilities and has strong customer service skills, proficient with Excel and Word, mixed with a variety of strong administrative skills and experience. This position is responsible for managing patient appointments and phone calls, maintaining client files, and performing various duties, including but not limited to: typing, copying, taking phone messages, answering patient questions, selling herbs, restocking supplies, cleaning work area, preparing and sending outgoing mail.
Job Responsibilities:
• Greet arriving patients
• Collect payment from patients and issue sales and/or insurance receipts
• Make appointments, both in person and over the phone
• Answer multi-line phone system and manage calls accordingly
• Instruct new patients regarding treatment options / procedures and the fertility program
• Maintain updates of confidential patient files
• Manage staff requests for time-off and perform staff scheduling
• Enter staff attendance into spreadsheet
• Print schedule grid/list for the following day(s) and pull patient files
• Complete sessions count at end of each day
We offer a friendly, comfortable atmosphere in a convenient, bus accessible location, benefits and an hourly rate of $16.00 per hour. There will be an initial four (4) week training period at $12.00 per hour and a two (2) month trial period with a $15.00 per hour rate. If you are the perfect candidate, you will have the following skills and abilities:
Requirements:
• Excellent customer service skills
• Be dedicated, a self-starter, fast learner, detail-oriented, and a positive attitude
• Have 1 -2 years related experience
• Ability to work in a fast paced environment
• Ability to manage a multi-line phone system
• Ability to schedule appointments
• Excellent organizational, analytical, interpersonal and communication skills (written and verbal)
• Must be willing to take on all manner of assignments, be flexible and a team player
• Proficient computer skills: Microsoft Office (Excel and Word)
• Demonstrated ability to handle multiple projects and details simultaneously
Preferences:
• Experience working with QuickBooks and/or Google Calendars
• Have a high school diploma
