Do you enjoy working with students? Are you passionate about the helping and healing profession? Our client, a reputed South Bay Institution of Higher Learning, is looking for a Graduate Admissions counselor to help advise, recruit and onboard PhD and PsyD students.
The Doctoral Admissions Counselor & Systems Manager is responsible for: (1) Management of Liaison EMP, PsyCAS and University Admissions website for doctoral admissions, (2) Admissions counseling from initial inquiry through on-boarding, (3) Communication management with prospective students, (4) Application management within PsyCAS, and (5) Recording and data tracking within the Enrollment Marketing Platform and PsyCAS/WebAdmit.
JOB DESCRIPTION
(1) Management of Liaison Enrollment Marketing Platform, PsyCAS/WebAdmit, and University Admissions Website Pages for Doctoral Admissions (Year Round)
a. Ensure system implementation and correct set-up of doctoral applications
b. Ensure all University website pages and links are accurate and functioning correctly
c. Make sure all instructions are accurate on the website and there is a "phone script" in place to counsel prospective students on using PsyCAS
(2) Admissions Guidance/Counseling From Initial Inquiry to On-Boarding (Year Round Cycle)
a. Call all prospective students within 24-48 hours of receiving lead
i. Distinguish responses for current application year and next year
ii. Work with Faculty to provide "high touch" to current application year candidates and encourage them to apply, phone calls and emails from Faculty are warranted given the University tuition
b. Take lead to completed application
c. Application to interview
d. Interview to Admissions Committee
e. Acceptance to Deposit
f. Deposit to Onboarding
g. Onboarding to Enrollment
(3) Communication Management with Prospective Students (Year Round Cycle)
a. Set-up and ensure Liaison EMP emails and texts are sent to prospective students in all stages:
i. Inquiries
ii. Campus Visits and Tours
iii. Applicants, Waiving fee with APA, Entering Transcript, etc.
iv. Completed Applicants
v. Interviewees
vi. Fin Aid
vii. Admitted/Denied
viii. Deposited
ix. Onboarding
x. Enrolled
b. Expand communication best practices by utilizing Liaisons Communication platform and templates
(4) Application Management (September through December)
a. Ensure all applicants understand how to use PsyCAS
b. Offer support in the office or by zoom for transcript entry
c. Proactively reach out to students who are not making consistent progress on their PsyCAS application
(5) Record/Data Tracking and Reporting (Weekly)
a. Ask all inquiries in phone calls "how did you first hear about us" and record in Liaison EMP
b. Ensure that student data is entered accurately and timely (within 24 hours) into the Enrollment Marketing Platform and WebAdmit
c. Track applicants in Liaison Enrollment Management System and run data reports weekly, provide to Admissions Director and VP Enrollment
d. Track applicants in PsyCAS/WebAdmit and run data reports weekly, provide to Admissions Director and VP Enrollment
QUALIFICATIONS
• A bachelors degree, but ideally a masters degree
• Strong technical skills including data entry, reporting and analysis
• Excellent written and verbal communication skills
• Strong organizational ability with great attention to detail
• Ability to work on deadlines
• Experience in college admissions, high school or college counseling
• Self Starter
• Good Communicator by telephone and email
• Ability to prioritize
• Multi-task
• Able to work under time pressure
• Enter data quickly
