POSITION: ADMINISTRATIVE ASSISTANT


SUMMARY


CHAC seeks a candidate with strong organizational and communication skills and a positive attitude to coordinate the administrative activities for the Executive Director (ED) and Board of Directors to ensure the efficient and professional operation of the organization. CHAC is a forward thinking and innovative non-profit mental health service agency based in Mountain View, CA.

 DUTIES RESPONSIBILITIES


 • Plan and schedule ED calendar(s) and resolve calendaring conflicts. Negotiate and manage the needs of individuals or groups requesting time with the ED, independently committing the ED's time. 


 • Monitor email for those requiring immediate attention, signatures, scheduling and work with ED to respond in a timely manner with appropriate action. 


 • Provide administrative support to the ED, including organizing the efficient flow of work and materials. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.


 • Prepare reports, memos, letters and other documents, using word processing, spreadsheet, database, or presentation software. Prepare timely responses to correspondence containing routine inquiries particularly from funders, school districts, city governments and other stakeholders. 


 • Independently prioritize, plan, coordinate and/or oversee logistics and conferences with individuals and entities internal and external to the agency, including executive and senior level staff, donors and government officials.


 • Create and distribute agendas for Staff and Clinical meetings. Coordinate logistics for department meetings and retreats; attend meetings to record minutes.


 • Coordinate collection and preparation of operating reports and statistical records of performance data. Maintain agency planning calendar and organization chart.


 • Serve as the liaison to various internal and external constituencies, including screening correspondence and telephone calls; ensuring timely responses; keep the ED informed of all matters requiring her attention.


 • Administer Board of Director activities: Prepare agendas, committee membership and Board of Director meeting materials each month


 • Attend Board meetings, take meeting minutes and distribute to Board President


 • Compose correspondence; develop, review and edit presentations and documentation; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision making purposes.


 • Manage multiple projects simultaneously. Anticipate and track initial dates, events and associated action items; follow up with appropriate parties on behalf of ED to ensure deadlines are met.


 REQUIREMENTS QUALIFICATIONS


 Education / License / Certification: 


 • Bachelor's degree required or commensurate experience.


 Related Work Experience: 


 • At least 3 years' experience serving in a high level administrative position, ideally supporting an executive level position. Some exposure to the philanthropic and/or nonprofit sector and experience working in a communications and/or public relations department or organization preferred.


 Knowledge, Skills and Abilities:


 • Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact.


 • Demonstrated high-level administrative experience which includes advanced computer skills and demonstrated experience with office software and email applications. 


 • Excellent planning and organizational skills with high attention to detail, accuracy and protocol.


 • Ability to take initiative and ownership of projects.


 • Demonstrated ability to handle sensitive issues and maintain confidentiality.


 • Ability to multi-task, adapt to changing priorities and meet deadlines.


 • Excellent oral and written communication skills.


 • Ability to multitask, prioritize and follow through to effectively manage work flow.


 • Good interpersonal skills with the ability to interact with a diverse population.


 • Ability to work independently and collaboratively within a team.


 • Advanced proficiency in Microsoft Office, database programs and Internet research. 


 • Interest in CHAC's mission.


 • Experience in education and/or mental health care desired


 Physical Requirements:


 • Constantly perform desk-based computer tasks.


 • Frequently sitting.


 • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.


 • Rarely twist/bend/stoop/squat, kneel/crawl.

 • May work flexible work schedule including weekends.

 Position Summary: 


 Responsible for organizing and re-stocking the food closet. Employee is responsible for the operation of EHP's emergency food box program which provides an average of 250 families each month with groceries. The program distributes over 350000 pounds of food annually. Ensures that EHP's food closet runs smoothly and provides consistent quality of food to families and individuals in need. Promote EHP's values of:

 with particular emphasis on compassion, respect, integrity and teamwork.


 1. Organize and sort donated/purchased goods, including canned foods, produce, meats, dairy, 


 and dry items 


 2. Pack and distribute daily food boxes, working with volunteers and other staff


 3. Assist with daily food distributions 


 4. Stocks and assists with organization of the food closet, which includes ensuring shelves and 


 storage areas are in excellent condition, rotating food as necessary.


 5. Ensure items are properly stored and secured as directed by the Program Supervisor


 6. Assist with special monthly distribution to clients


 7. Assist with maintaining the organization of refrigerators and freezers


 8. Receives all food donations and stocks items


 9. Distributes excess bread and produce on a daily basis as needed


 10. Assist with training and directing both small and large groups of volunteers


 11. Maintain daily temperature log for refrigerator, freezer and storeroom


 12. Assist with special events, holiday program, and other programs as needed


 Note: In addition to the primary duties, other duties (e.g. supervision of volunteers, program assistance) will be required. The job description shall not be construed as a contract and is not a complete list of all miscellaneous, incidental or other duties which may be assigned during normal operations. Overtime will be required during certain times of the year.

 CHAC's programs address a variety of emotional problems that affect children and teens, and cause stress within their families. All of CHAC's programs are designed to protect young people from high-risk behaviors while building personal assets - such as school success, valuing diversity, maintaining good health, and delaying gratification - that will insure that they have the greatest chance for success in life. 


 JOB SUMMARY:


 The Marketing Communications Associate will report directly to the Director of Development and Marketing to support all aspects of the organization's communications and fundraising plan to maintain and increase contributed income from individuals, corporations, and special events. 


 Responsibilities include, but are not limited to: special events support; communications, social media support and collateral production; gift processing; donor data entry; donor stewardship. 


 JOB RESPONSIBILITIES


 Communications and Development Support – 45%


 • Assist with production of communication materials including: eNewsletters (4), Annual Report (Fall 2017), CHAC Chats messaging (4 events) and presenter support (PowerPoint) and press releases, when needed.


 • Monitor inventory of printed communications materials and revise and produce when needed.


 • Support agency development plan to effectively promote the organization, educate the public, and maximize fundraising efforts.


 • Support and implement outreach activities including conference displays, special events and targeted mailings.


 Special Events – 45%


 • Support Development Director in planning, logistics and implementation of fundraising and agency donor events: 


 - Annual Appeal letter signing (Oct/Nov 2017)


 - Spring (2018) fundraiser – date TBD


 - Donor Appreciation events 


 - quarterly CHAC Chats/Informational events (4)


 - Planning for 45th anniversary Celebration (August 2018) 


 - Preparation and participation in corporate, school and community open houses and fairs (as needed) 


 • Coordinate invitations, registration, activities and other elements of events including program presenters.


 Donor Stewardship Program Management Assistance – 10%


 • Capture all donor information and processing of financial donations, including updating email lists, proper funneling of recognition letters and alerting Fund Development Director and Executive Director of new, unusual and significant donations. 


 • Initiate and prepare outreach activities and communication to all donor segments: new donors, major donors and long term donors.


 • Prepare donor and prospect research materials for Executive and Fund Development Director to make donor calls and set meetings.


 • Strategize with management team for effective electronic gift processing and campaign messaging (online donations).

 QUALIFICATIONS:


 • Bachelor's Degree with a major in communications, public relations, business marketing, development or related field required or 3 years related experience.


 • Excellent communications skills, both written and oral.


 • Ability and better than average skill working with electronic media.


 • Excellent computer skills with Microsoft Office applications.


 • Ability to work and communicate well with fellow staff, Board, donors, and volunteers.
