Human Resources Representative
On-site in Sunnyvale, CA
You are a highly organized, strategic and service-minded Human Resources Representative. You are looking for a company with integrity that cares about its employees and appreciates a service-approach to ensure a quality employee and candidate experience while managing a multitude of projects, from HR operations, performance management, providing support for training and development programs as well as compliance and workplace safety. You are able to balance both the day-to-day demands of the job, provide project support on initiatives, maintain our various systems and reporting while maintaining a high level of organization and a passion about continuous process improvement.
You will have primary responsibility for:
I. HR/OD Support: 50%
General HR
Update & distribute global organizational chart monthly
Update Success Metrics monthly and the Retirement Benefit Plans Committee information quarterly.
Partner with HR Manager (Chair) to manage Community Work/Life Committee and Events Committee meetings and activities; send out agenda, meeting planners, meeting minutes, track budget and manage quarterly activities. Provide support for tracking budget items related to certain benefits and HR expenses.
Manage Lynda.com subscription base and licenses globally in coordination with Europe, Australia and Singapore offices. Run trend reports and track budget and usage quarterly to report to VP of HR.
Complete special projects as assigned by VP, HR/OD.
Performance Management Support Act as Administrator for the talent management system (Halogen).
Ensure timely upgrades and processes are optimized.
Maintain updated User Guides and current PowerPoint presentations for training purposes, in collaboration with the HR Manager.
Provide technical assistance to new hires as well as during the performance evaluation process to managers and employees with the system.
Maintain current knowledge of the talent management system—by attending webinars, leveraging customer groups and tools/templates, as well as the technical guides.
Provide feedback to HR Manager and VP of HR about process improvement ideas to optimize usage and streamline processes.
Support HR Leadership with drafting communication about the process deadlines and any system updates, as needed. OD/Training/Coaching Support
Provide administration support for the Succession Planning and Professional Development Process. This includes maintaining electronic files, scheduling and managing the process documents to ensure a seamless process.
Maintain weekly calendar of OD consultant; provide administrative support to OD consultant such as ensuring the materials that are needed are sent in advance.
Act as technical subject matter expert for the online Workplace Harassment Prevention training and web-based survey tool. Provide support on all related projects.
As part of the planning process through execution, provide administrative support and set-up support for all onsite or offsite trainings. Maintain attendance tracking records.
Payroll Support Act as liaison to ADP and employees for questions regarding the ADP Workforce Now system.
Ensure that all employees are set up & receive training on the system.
Maintain status as back-up for Payroll and Benefits Administrator, including maintaining current documentation on all payroll processing.
Provide support for the 401k and ESOP benefit audits annually in partnership with the Payroll and Benefits Administrator and the VP of HR to support high quality audited results.
Compliance/Safety
Ensure timely and accurate completion of compliance reporting including: Vets-100 reporting, OSHA's form 300A, etc. Ensure all federal and state required posters are updated and in appropriate locations in our office locations.
As first point of contact for Worker's Compensation issues, partner with employee and manager to prepare appropriate claims information and file it timely.
Act as liaison with insurance representative and ensure smooth handling of any case management.
Participate as a member of the Safety Team for quarterly walk-throughs of office locations and maintenance of policies including the Illness and Injury Prevention Program.
II. Recruitment Coordination: 35%
Monitor Applicant Tracking System throughout the day for coordination of interview scheduling, to maintain recruiting service level agreements, working closely with HR Manager and hiring managers to ensure speed to hire with quality approach.
Post approved job ads on the standard job boards, checking for accuracy and ensuring they are following the standard template. As needed, research any additional job boards and secure hiring manager approval for additional costs, managing the chargeback process. Proactively repost jobs as needed.
Administer & score pre-employment assessments, in accord with standard operating procedures.
Process dispositioning candidates timely in Applicant Tracking System for candidates who are not hired, according to operating procedure.
Maintain accurate data for the Applicant Flow Log for Affirmative Action tracking purposes.
Partner with HR Manager to update Affirmative Action Plan annually to ensure the information tracked about recruitment is accurate and the reports are completed timely.
III. Benefits Administration: 15%
Assist HR Manager with onboarding, new hire orientation, and benefit enrollment.
Manage benefit problem resolution with carriers and broker on behalf of employees.
Partner with Payroll & Benefits Administrator to coordinate Open Enrollment
Processes with broker, including planning the timeline, develop all communication (emails and presentations, updated employee and candidate benefit information), coordinate meetings, and ADP setup for all US regions, ensuring timely and accurate information is provided.
Review annual benefit statements to ensure accuracy, partnering with the Payroll & Benefits Administrator.
Update benefit summary guides for employees and candidates.
Support Ergonomics program—in partnership with the Facilities Manager. This includes initial setup of new hire employees as well as assisting employees with any concerns or complaints for ergonomics evaluations complete through issue resolution. Monitor trends and report back to HR Management.
Partner with VP, HR/OD to coordinate 401(k) quarterly education meetings with presenters.
Coordinate exit interviews with HR Manager. Process terminations timely within ADP, Halogen and ensure the manager has submitted the proper information for the User Request Forms.
You will have the following:
3-5 years prior experience as an HR Representative or similar HR generalist function .PHR is ideal.
Proficiency with MS Office 2010 Suite: Experience with applicant tracking, recruitment coordination and performance management systems (Halogen and Jobvite ideal);
Excellent grammar, spelling, & math skills;
Demonstrated ability to maintain confidentiality;
Excellent interpersonal skills: warmth, sensitivity to others, maintaining a service focus for all internal and external customers.
Highly organized and planful when approaching tasks and projects.
Ability to juggle and prioritize multiple projects and requests to achieve quality results.
Professional and clear communication skills—both verbal and written with all constituents.
Ability to identify process improvements and leverage technology or streamline processes.
