(v1.08 - 1411167851) - Crawford Communications Group (www.crawfordgroup.com) is seeking a Tradeshow Coordinator for a project-based assignment with one of our technology clients in San Francisco, CA. The Tradeshow Coordinator will support planning and execution of our client's upcoming event.
The successful candidate has a demonstrated track record of event or tradeshow general logistical support as related to event management and execution. The ideal candidate is highly accountable, self-directed, organized and detail oriented.
Specific responsibilities:
Manage all tradeshow logistics, including: pre-show preparation, management and execution
Design event strawman by executing client's strategy, including: objectives, deliverables and all aspects of presence at show
Participate and lead planning meetings, including: updating strawman, detailing meeting notes and action items, dispersing information to planning team
Provide electrical and internet floor plan approval
Work directly with client lead and provide continual communication of tradeshow logistics management
Facilitate the graphics plan by working with graphic designer and planning team to understand messaging and imagery requirements
Manage all show services, including: Lead retrieval systems, networking and electrical, furnishings, cleaning, lighting, drayage, and move in time negotiations as required
Register all show attendees for exhibit, 'full conference' or 'expo only' badges
Reserve rooms for entire event staff
Manage room block to include check-in and check-out dates
Arrange and communicate all shipping in and out logistics between graphics vendor, selected exhibit house and selected exhibition hall (constant tracking and monitoring is required)
Coordinate with lead on the content development of booth guide and other marketing deliverables based on their needs
Create an onsite guide for use by the onsite staff for the set up and tear down of event programs
Identify and propose additional program elements to provide broader branding and customer engagement opportunities
Develop and manage complete tradeshow budget, including: reconciliations of estimated budgets vs. actual budget allocation, processing monthly accruals, and ensuring program(s) are delivered on budget
Request, gather and track all necessary vendor estimates in order to organize payment processes
Track, approve and route all invoices related to tradeshow
Ensure all suppliers invoices are submitted to client within 30 days of event
Skills:
At least 2 years of event and/or tradeshow logistics experience, supporting and executing events, tradeshows, and/or conferences
Must have the ability to come up to speed quickly in a fast-paced environment
Tactical experience supporting Tradeshow/Events personnel with event execution and management
Experience developing and managing tradeshow and/or event budgets
Interface with show management as needed
Experience with onsite management and vendors: i.e, coordinating deliverables, tracking vendor estimates and payment processes, electrical/internet floor plan approvals, hotel room blocks, and any additional onsite management or vendor requests
Bachelor's Degree with Marketing, Business Administration or similar required
RATE: D.O.E., as W-2 employee of Crawford Group
LOCATION: 100% onsite at client's offices in San Francisco, CA. Local, S.F. Bay area applicants only, please. No phone calls.
HOURS/DURATION: FT; ASAP – December 31, 2014. Potential to extend to June 2015.
