Position Summary

The University of California's Office of the President Internal Communications (IC) team is looking for a seasoned, energetic and versatile communications professional to serve as its Internal Communications Manager. We're looking for someone with a strategic and creative approach to communicating across traditional and digital platforms, a track record of mentoring and developing other writers, a keen eye for a compelling story, and a deft hand at turning sometimes dry information into engaging content.

Our ideal candidate can conceive and implement communication strategies, has superior writing, editing and interpersonal skills, and is naturally upbeat and collaborative. S/he is keenly interested in creating communications that educate and help build community, and can perform with poise under tight deadlines and shifting priorities. The ability to successfully navigate a complex organization and interact with senior leaders with diplomacy and tact is also important.

The Internal Communications unit is a six-person team, responsible for creating and delivering timely news and information to the more than 230,000 employees and retirees of the University of California system. This includes original news and digital content, materials about compensation and benefits and other employment-related matters, messages from leadership, and communications about university initiatives and organizational changes. Because the Internal Communications unit is relatively small, all team members report to the Director.

Specific responsibilities for the Internal Communications Manager include:

* In consultation with the Internal Communications Director, oversee the day-to-day work of the IC team, including planning and managing editorial calendars, and ensuring that projects are completed on schedule;
* Coaching IC team members regarding their writing and storytelling skills;
* Assisting the Director in the overall management of the Internal Communications unit:

- helping to develop and execute communications strategies for institutional priorities

- helping to identify and execute the best vehicles to achieve objectives 

- maintaining consistency of editorial tone and style

- forecasting, planning, and resourcing projects

- working with Internal Communications staff to troubleshoot workflow and project problems

- raising work and personnel issues with the Director as needed

- serving as back-up manager in the Director's absence

* Collaborating with other department colleagues to ensure consistent messaging and a smooth and efficient workflow, and that content is integrated and coordinated;

* Maintaining a portfolio of individual projects of his/her own.

Job Duties:

Supervises development, content, and publication of multiple institutional communications in print and digital form.

 Helps conceive editorial strategies and content for these vehicles.

Collaborates closely with design and production teams on execution and workflow management.

Supervises the work of unit and freelance staff, with responsibility for final line edits and quality control, and ensuring that UCOP's storytelling is fresh, engaging and effective in meeting both audience and University needs.

Enforces editorial style and guidelines/standards for print and digital products. Assumes responsibility for factual and grammatical accuracy, clarity, completeness, and appropriateness for intended audience.

Writes stories and other editorial content for print and digital communications as circumstances require.

Helps set and manages project timelines and resources to deliver products on schedule and within budget.

Coordinates with subject specialists, departmental leadership and others to generate material and to integrate departmental or subject-specific

communications into flagship institutional vehicles as appropriate. Consults on departmental communications projects as needed to ensure quality and consistency of output from UCOP.

Researches and recommends strategies for new communications vehicles, and for expanding reach and effectiveness of existing institutional communications.

Interacts regularly with UCOP and campus client-colleagues to anticipate and assess needs, help ensure service levels are being met, and to foster trust and strong working relationships.

Assists unit Director with staff development and performance assessment.

Ensures efficient and effective operation of the Internal Communications team in the absence of the Director.

Performs other duties as assigned by the Director of Internal Communications.

Job Requirements

Bachelor's degree in journalism, corporate communications or related field, plus seven or more years experience in news/magazine/publications/online communications management.

Excellent writing, editing, proofreading, interviewing, story research and concept development skills.

Successful experience serving in a management or team lead capacity; ability to delegate and supervise others effectively to develop timely, engaging content, and to be enthusiastic motivator.

Demonstrated experience managing print and digital publications from inception through production, including setting and meeting editorial and production schedules and strategic priorities. Proven ability to take initiative and work independently.

Demonstrated ability to craft messages for a range of audiences and to express complex material clearly, concisely and persuasively.

Demonstrated effectiveness in a team-oriented environment; values working with a diverse group of colleagues.

Has a positive attitude and is action-oriented.

Conducts him/herself with a high degree of integrity.

Demonstrated interest in community building.

Superior interpersonal communication, teamwork, collaboration and client service skills, with demonstrated ability to establish and maintain strong working relationships.

Strong verbal and presentation skills that demonstrate the ability to articulate ideas and issues clearly, concisely, and persuasively.

Good listening and discussion facilitation skills. Maturity, diplomacy and tact.

Able to counsel and persuade others, including organizational leaders, regarding strategy.

Strong professional judgment, with proven ability to be a creative and critical thinker and problem- solver.

Comfortable working in an environment of ambiguity, uncertainty and frequent change. Flexible.

Demonstrated success working in a fast-paced, high-volume, dynamic environment with frequently shifting priorities.

Calm and focused under pressure; does not get rattled or distracted easily.

Ability to effectively organize and manage multiple projects simultaneously and meet project deadlines and budgets.

Experience producing high-quality work on time within a decentralized and complex environment.

Familiarity with HTML, Adobe Creative Suite, and Mac OS environment preferred, and working knowledge of web publishing software and digital communications practices.

Experience cultivating online communities, and using social media, blogs and multimedia tools desirable.

Experience using a content management system a plus.

Experience with employee or internal organizational communications preferred. Focused attention to detail and accuracy.

Thorough knowledge of AP Style.
