Executive Assistant/Office Manager


Job Summary: (Full-time Regular role) 


We are looking for an Executive Assistant/ Office Manager who is friendly, enthusiastic, and will help support our office environment in Fremont, CA. In this position, we are looking for someone that is self-motivated to help others and is always thinking of ways to improve the work environment. This person must enjoy multi-tasking in a fast paced environment and be highly organized. Whether it is taking meeting minutes and following up on action items, planning company and team events, or assisting with additional ad hoc projects, you will have full and fun days at embedUR. 


Key Responsibilities:


Administration


• Schedule Project Review meetings, take notes and track action items.


• Work and own relationships with our local vendors and contractors (caterers, janitorial, facilities, IT Support, etc.)


• Serve as the 'go-to' person for all employee office needs


• Make travel plans and guest accommodations as needed


• Screen executive phone calls and when appropriate follow up and close on action items.


• Work with senior engineering managers to assist with daily activities.


• Participate and help with customer visits and scheduling customer dinners.


• Co-Ordinate/help/plan Company marketing events including Company meetings/socials/gatherings.


HR Support:


• Support managers with Recruiting by scheduling, preparing interview agenda, coordinating on-site interviews and helping to keep interviewers on-track


• Complete on-boarding tasks, including paperwork, IT setup, equipment and desk readiness, and first day package preparation


• Assist with HR paperwork coordination and compliance


• Work together with Hiring Managers to create HR events and procedures to ensure a positive employee experience


• Manage HRIS- Bamboo HR data entry, reporting and maintain all HR files


Qualifications


• A Bachelor's degree with 3-5 years minimum experience in Business Administrative or Human Resources fields


• Ability to develop and sustain strong interpersonal relationships while working cooperatively and collaboratively with all levels of employees, management, and vendors


• High level of proficiency with Microsoft Excel, Word, PowerPoint


• Highly organized with attention to detail


• Ability to handle confidential and sensitive matters


• Excellent communication skills via phone, email, and in-person


• Willing to 'roll up the sleeves' and do whatever it takes to get the job done


• Friendly and positive attitude with the ability to handle a changing environment
