Principle Responsibilities and Duties:
• Act as the Company's receptionist, greet visitors and ensure the flow of guests
• Using the individual's fluency with the Japanese language and culture, participate in meetings and conference calls with senior staff to translate when employees are speaking with the Company's Japanese partners; may periodically travel to Japan for up to one week, as requested by the CEO
• Regularly inventory and order the Company's supplies for kitchen, office, IT and others
• Ensure shipment of FedEx or other packages as requested; schedule pick-ups or drop off as necessary
• Assist in other areas such as A/P, IT, Human Resources and contracts administration as requested
• Coordinate delivery and set-up of meeting details, such as GoTo Meeting, conference calls and any food or beverages being served
• Working with the Company's travel agent, assist employees with periodic travel
• Participate in other assignments as requested
Desired Skills & Experience:
• BA/BS preferred. 3+ years' administrative or office management experience. Biotechnology/pharmaceutical background is a plus.
• Must have very fluent Japanese and English language skills, with the ability to translate clearly in both languages as requested
• Must have a valid driver's license and the ability to drive short distances to drop off packages or pick up food/beverages for meetings or employees
• Must have the ability to prioritize and effectively perform in a fast paced environment
• Must be a self-starter with a positive, "can-do" attitude
• Excellent interpersonal and communication skills
• Excellent computer skills, particularly Outlook and all MS Office applications. Must be well versed in using the internet to source products/supplies, place orders and trace shipments; must have knowledge of software applications such as GoTo Meeting and Skype to assist with meeting preparedness
• Must have the ability to travel internationally, less than 10% of the time.
