We are currently seeking a full-time, permanent Account Coordinator/Marketing Operations Coordinator to support the Account Services team at Crawford Group. The Account Coordinator/Marketing Operations Coordinator will be a high impact individual, responsible for supporting a client-centered account team in the day-to-day management of several key accounts. This includes maintaining a high level of awareness on a variety of account activities, including quarterly budgets, monthly invoicing, bi-weekly timesheet tracking, weekly interviews and hiring timelines and client communications with Operations and Procurement teams,. Attention to detail for accurate client budgeting, forecasting and invoicing is a large part of the role. The right person must have a service-oriented approach and professional communications style, with the ability to respond to sensitive situations with grace and calm.

The Account Coordinator/Marketing Operations Coordinator must be comfortable adopting and navigating online software tools (e.g. NetSuite CRM, customer relationship management, and Fieldglass VMO, vendor management system). This role also needs to be comfortable with frequent changes in process as we evolve to the needs of our business.

The ideal candidate is a creative problem solver with a positive attitude, has a customer-focused working style, and excellent communication skills. You must thrive in a fast paced, small business environment where client responsiveness and authenticity are highly valued.

Responsibilities:

Support Account team in capturing client needs and opening job requisitions in NetSuite; work in partnership with Account Managers to upload job descriptions, define client required skill sets and confirm budgets to initiate the hiring process and forecast Crawford Group revenue

Lead candidate review process: schedule interviews, format resumes, track feedback, manage overall process

Update client proposals and SOWs (statements-of-work) to secure quarterly budgets

Develop candidate profiles from recruiting interview notes in preparation for Account Director interviews.

Track finance requirements for monthly invoicing by account (SOW milestones, invoices, expenses)

Manage 3rd party online tool for tracking client programs, budget approvals and Credit Memos (Fieldglass VMO)

Develop and manage quarterly Excel spreadsheets to reconcile client budget changes

Work with consultant team members to review and finalize budgets. Ensure all dollars are reconciled both with the client budget and the Crawford internal financial systems to close programs. Pull reports as needed for consultants to review current financial status.

Manage corporate AMEX reconciliation against client programs via TriNet Expense Center.

Drive client and consultant communication programs (bi-weekly timesheet communications to consultants, periodic cards and gifts to clients, flowers and gifts to employees as needed)

Coordinate client appreciation events with account directors. Including venue research, creating invitations, tracking to registration, ordering promotional items and confirming all aspects of the event with the AD.

Participate in weekly meetings taking relevant notes and action items in support of open requisitions and consultant follow-up communications

Provide account administrative support as needed (e.g. order laptops for new hires, return laptops for employees coming off assignment, track expenses and reconcile employee hours against the budgets on related Purchase Orders)

Provide back-up support for our receptionist during lunch breaks and errands

Skills:

1-2 years' experience in account coordination, operations coordination, financial coordination, project management or marketing communications

Demonstrated ability to communicate effectively and professionally

Proven adoption of online CRM or VMO tools (or other SaaS platform). Self starter to learn new systems and processes.

High degree of personal accountability and initiative, attention to detail and the ability to follow through on assignments to completion

Ability to work both independently and collaboratively as part of a team

Excellent written and verbal skills

Passion for details as well as the ability to adapt to changing priorities while effectively multitasking

Proficiency with Microsoft Office Suite

BS or equivalent degree in Business, Marketing, HR, or related field is required

RATE:

D.O.E. as a full time/permanent/salaried employee of Crawford Group; benefits available

LOCATION:

This role must be performed in our office in Campbell, CA. We are conveniently located next to The Pruneyard Shopping Center on Bascom Ave. with many restaurants and shops in walking distance.

HOURS/DURATION:

8:30am - 5:30pm, Monday - Friday
