[KITlist] Administrative Coordinator/Marketing (Sunnyvale, CA)

Supports Marketing Operations and Marketing Communications teams by providing exceptional administrative services, financial tasks, event support and maintaining office supplies and systems.

Duties:
• Maintains office services by organizing office operations and procedures; crafting and managing correspondence; planning and executing administrative functions, procuring office supplies and snacks.
• Maintains department and project budget overviews and tracks expenses; maintains vendor data, orchestrates contract reviews, issues POs, manages invoice reconciliation and check requests; tracks and processes expense reports.
• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement for current and future staff.
• Compiles, edits, and formats weekly reports, monthly metrics reports and manages distribution; maintains various marketing SharePoint sites for the department.
• Schedules and plans meetings including catering needs and Meeting Place setup including troubleshooting; plans, manages and executes department off- and onsite meetings; assists with the execution of employee and industry events.
• Manages the department's lunch'n learn event calendar; plans and executes these events.
• Keeps and publishes staff meeting notes and ensures action items are followed up upon.
• Plans and executes domestic and international travel requirements.
• Develops spreadsheets and presentations and contributes to team effort by accomplishing related results as needed.

Skills/Qualifications:
This position reports into a service organization, hence excellent interpersonal and communications skills as well as a service-oriented mindset are a must. The ideal candidate is results-oriented, proactive, displays great attention to detail and is able to juggle conflicting priorities. The ability to work in a fast-paced environment, while supporting a large group of individuals is key. She/he is highly self-motivated and needs little supervision. She/he is able to work on assignments that are complex in nature where considerable judgment and initiative are required and is skilled in resolving problems and making recommendations. A minimum of 4-6 years of experience in an administrative or events related position is required.

Technical Skills:
• Advanced proficiency in MS Excel, PowerPoint, Word and Outlook
• WebEx and meeting place proficiency and troubleshooting experience
• Experience in setting up surveys utilizing Survey Monkey or similar tools
• SharePoint and basic html skills are a plus
