Executive Assistant/HR Specialist

This is full-time position reporting to the Company President, comprised of two parts. Half is the Human Resources Specialist position which functionally reports to the Corporate V.P., and the other half is the Executive Assistant position.

The Executive Assistant role provides administrative support for the president. The individual will coordinate meetings, prepare reports and other confidential materials, arrange travels, and manage expenses. The Executive Assistant will also be authorized to make business office decisions in the occurrence that executives are unavailable.

Specific EA duties are as follows:

• Schedule executive meetings and receive visitors; arrange conference calls;
• Handle travel plans and arrangements for executives and staff; booking air other transportation; arranging lodging and meeting accommodations;
• Manage and maintain executive's schedule;
• Assist executive in reviewing expense reports, PTO requests, and bringing any exceptions to the executive's attention;
• Assist executives in preparing documents and presentations;
• File and retrieve corporate documents and records;
• Liaise with internal staff at all levels;
• Interface with the building owner for service and other requests;
• Handle corporate events and dinner planning;
• Order office supplies
• Complete projects and special assignments.

The HR Specialist role is responsible for the administration of the day-to-day operation of the human resources functions and duties, encompassing the following functional areas: employment, payroll, benefits, compensation, immigration, and compliance.

Specific HR duties are as follows:

• Maintain manager and employee confidence by keeping human resources information confidential;
• Handle recruiting and staffing logistics; create and place ads for job openings, sets appointments for interviews; screen applicants; verify job candidate background; maintain recruitment records;
• Orient new employees by providing orientation information packets; reviewing company policies; gather withholding and other payroll information; explain and obtain signatures for benefit programs;
• Manage the administration of benefit programs, and liaise with benefits providers as needed;
• Responsible for maintain a calendar of key dates to meet with benefits providers to review rates, modifications, and mandatory changes;
• Responsible for entry, maintenance and accuracy of payrolls; compute and submit requests to ADP for deductions, including Federal and State taxes and contributions to retirement, insurance, and savings plans from gross income;
• Avoid legal challenges by complying with legal requirements ; Document human resources actions by completing audit forms, reports, logs and records (such as OSHA, , I9s, Workers Compensation, FSA, and 401(k) testing)
• Maintain human resources records by recording new hires, transfers, terminations, changes in job classifications, merit increases, tracking vacation, sick, and personal leave time;
• Prepare and submit mandatory reports, including employee safety, welfare, wellness, and health reporting.

Requirements:

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks including administering payroll and benefits. The person must be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people.

BA degree or equivalent.
2+ years working directly for a high level company executive.
Hands on HR experience.
