Position Summary:
RSF Social Finance seeks to hire a full-time Office Coordinator to ensure the effective operations of RSF's front office and facilities. Primary duties include: facilities administration, purchasing office supplies, monitoring and evaluating related vendor contracts, answering phones, greeting clients, coordinating staff events, and providing excellent customer service.

Essential Duties & Responsibilities:

Facilities Administration:
• Serve as point person for facilities administration and related vendor contracts. Ensure the upkeep and monitoring of alarm systems, network printers, postage machine, and common spaces. Recommend facilities purchases and improvements when needed.
• Provide training and guidance to staff on all facilities matters
• Maintain a high level of cleanliness and sense of organization in common spaces (reception areas, conference rooms, kitchens, and basements). Redecorate and reorganize when needed.
• Monitor inventory and purchase office supplies (including kitchen supplies, letterhead, and envelopes)
• Serve as liaison for staff to housekeeping service, property managers, and building maintenance staff. Respond to questions and repair requests, keeping staff informed as appropriate.
• Coordinate office furniture needs and desk setup for new and current employees
• Coordinate building safety initiatives, including emergency preparedness plan and training. Participate in emergency/business continuity team.

Reception:
• Warmly and professionally greet visitors, guests, and clients
• Answer the main phone line and transfer calls to appropriate persons
• Coordinate incoming and outgoing mail, faxes, packages and deliveries in a timely manner

Event & Catering Coordination:
• Coordinate logistics (including reservations and catering) for educational and community building events including: special staff meetings, brown bag lunches, staff trainings, staff retreats, summer picnic, and annual holiday party
• Organize and prepare weekly Friday staff continental breakfast
• Assist Executive Office with onsite RSF board meeting logistics as needed
• Assist Marketing and Communications Team with offsite client-facing events as needed
• Assist Organizational Culture department with occasional event logistics

Administrative Tasks:
• Provide administrative support to the Human Resources & Organizational Culture departments, including meeting scheduling and other program assistance as needed
• Support quarterly client statement mailing and board packet mailing projects
• Compile and submit three monthly credit card reconciliations and expense reports
• Accurately input and update data in Salesforce as needed
• Special projects as assigned

Knowledge, Skills, and Abilities:
• 3-5 years of office manager, office coordinator, or receptionist experience
• Demonstrated experience with facilities administration, vendor relationship management, and office supply purchasing
• Event planning/coordination experience a plus
• Experience providing excellent customer service in a busy office setting
• Work and/or volunteer experience in the nonprofit or social finance sector is desirable
• Associate's degree required, Bachelor's degree preferred
• Excellent written and oral communications skills are required as the position requires daily phone and email correspondence with staff, vendors, and clients
• Fluency in oral and written English required
• Strong writing, editing, and proofreading skills
• Strong interpersonal and listening skills
• Basic math skills are needed for compiling expense reports and reconciliations, and monitoring the office supply budget
• Proficiency with vendor contract review a plus
• Excellent organizational skills and proven attention to detail
• Ability to coordinate a multi-step project (e.g., events and meeting logistics ) within allotted time requirements
• Ability to effectively use business software such as Microsoft Outlook, Word, PowerPoint, and Excel
• Ability to use the Internet for research and information-gathering
• Ability to quickly learn a database (Salesforce)
• Demonstrated ability to prioritize and handle multiple projects is essential
• Ability to work collaboratively with staff and effectively interact with guests and clients
• Ability to identify and proactively solve problems with initiative, creativity, and flexibility
• Ability to multi-task, trouble-shoot, work independently, and manage time effectively
• Ability to maintain a high degree of professionalism
• Ability to be self-motivated, resourceful, and energetic
