Ten person administrative office of well-established company in wine-related industry seeks an experienced office manager. The ideal candidate for this position is a flexible "people person" who knows how to direct people and vendors as well as dig in where needed. You must be smart, industrious, systematic, and a creative problem solver. Ability to multi-task and prioritize are critical.
This is a newly created position due to growth of the company in both sales and complexity. Your job will be to help us figure out how to "scale" the office operations for continued growth. You will need to be a self-starter.
SKILLS/EXPERIENCE
At least 5 years' experience supervising multiple employees – very important !!
Some customer service background/experience
Familiarity with shipping & logistics
Comfort with PC applications (MS Office, Quickbooks) and contact management software (ACT!)
Facilities management (liaison with IT consultants, phone systems, supplies, office machines, etc)
Coordination of outside vendors: basic purchasing, trade show/travel arrangements, production of marketing materials, etc.
Project management abilities
Working knowledge of CA labor laws
Bookkeeping knowledge
Ability to deal with super picky detail-oriented paperwork without losing sight of the big picture
SPECIFIC TASKS:
Managing flow of administrative functions of office and support sales function including:
Employee management (setting meetings, ensuring job coverage during vacation, illness, etc);
Hiring and firing;
Coordinating deliveries & paperwork with foreign and domestic suppliers;
Handling Client's requests to complete forms for their compliance needs – such as Certificates of Analysis or Compliance regarding our products, MSDS Sheets, Audit Forms regarding manufacturing, Organic/NonGmo Statements, Audit for ISO filings, etc;
Manage Purchasing for Admin Office & Production Facility;
Assist on documentation for Exporting
Coordinate Office Maintenance & Equipment Maintenance
Manage all details surrounding Tradeshows/Events
Coordinate Weekly Mailers & Larger Mailings to Clients
Working with CFO on Quickbooks and additional inventory software systems
Primary responsibility for computers, software, Website and E-mail maintenance (with our IT consultants)
