We are currently seeking a full-time, permanent Account Coordinator/Marketing Operations Coordinator to support the Marketing and Communications Solutions team at Crawford Group. The Account Coordinator/Marketing Operations Coordinator will be a high impact individual, responsible for supporting a client-centered account team in the day-to-day management of several key accounts. This includes maintaining a high level of awareness on a variety of account activities, including quarterly budgets, monthly invoicing, bi-weekly timesheet tracking, weekly interviews and hiring timelines, client communications with Operations and Procurement teams, and ongoing employee communications. Attention to detail for accurate client budgeting, forecasting and invoicing is a large part of the role. The right person must have a professional and courteous communications style, verbal and written, enabling them to respond to sensitive situations with grace and calm. This role supports a team of three people: two Account Managers and one Vice President. This team currently supports six high tech clients with approximately 70 Crawford Group employees on assignment.

The Account Coordinator/Marketing Operations Coordinator must be comfortable adopting and navigating online software tools (e.g. NetSuite CRM, customer relationship management, and Fieldglass VMO, vendor management system). This role also needs to be comfortable with frequent changes in process as we evolve to the needs of our business.

The ideal candidate is a problem solver, is positive, has a customer-focused working style, and excellent communication skills. You must thrive in a fast paced, small business environment where client responsiveness and authenticity are highly valued.

We are a small company where everyone performs multiple roles and we are often creating new processes as we discover new challenges. In addition to the three people on the Account Team you support, you will work directly with our head of Operations, our head of Human Resources, the Finance team, and our Receptionist. You will work collaboratively with all of these people to understand what they do and how your contribution impacts the whole company's success. You will have the opportunity to recommend different ways of doing things and we invite you to contribute ideas for how we can be more efficient and productive. We have an open-space environment with a range of 5-20 people in the office each day. Your days will be intimate and diverse as you get to know the workings of a small business.

Responsibilities:

Support Account team in capturing client needs and opening job requisitions in NetSuite; work in partnership with Account Managers to upload job descriptions, define client required skill sets and confirm budgets to initiate the hiring process and forecast Crawford Group revenue

Lead candidate review process: schedule interviews, format resumes, track feedback, manage overall process

Update client proposals and SOWs (statements-of-work) to secure quarterly budgets

Track finance requirements for monthly invoicing by account (SOW milestones, invoices, expenses)

Manage 3rd party online tool for tracking client programs, budget approvals and Credit Memos (Fieldglass VMO)

Develop and manage quarterly Excel spreadsheets to reconcile client budget changes

Drive client and consultant communication programs (bi-weekly timesheet communications to consultants, periodic cards and gifts to clients, flowers and gifts to employees as needed)

Participate in weekly meetings taking relevant notes and action items in support of open requisitions and consultant follow-up communications

Provide account administrative support as needed (e.g. order laptops for new hires, return laptops for employees coming off assignment, track expenses and reconcile employee hours against the budgets on related Purchase Orders)

Provide back-up support for our receptionist during lunch breaks and errands

Skills:

1-2 years' experience in account coordination, operations coordination, project management or marketing communications

Demonstrated ability to communicate effectively and professionally

Proven adoption of online CRM or VMO tools (or other SaaS platform)

High degree of personal accountability and initiative, attention to detail and the ability to follow through on assignments to completion

Ability to work both independently and collaboratively as part of a team

Excellent written and verbal skills

Passion for details as well as the ability to adapt to changing priorities while effectively multitasking

Proficiency with Microsoft Office Suite

BS or equivalent degree in Business, Marketing, HR, or related field is required

RATE: D.O.E. as a full time/permanent/salaried employee of Crawford Group; benefits available

LOCATION: This role must be performed in our office in Campbell, CA. We are conveniently located next to The Pruneyard Shopping Center on Bascom Ave. with many restaurants and shops in walking distance. Whole Foods, Starbucks, Yogurtland, Chipotle, Barefoot Coffee, Erik's Deli, Una Mas! and The Garret Pizza are just across the street.

HOURS/DURATION: 8:30am - 5:30pm, Monday - Friday. We offer complimentary snacks and drinks every day. Lunch is provided for the office once a week.
