Human Resource Administrator/Staffing Coordinator
Work with the CEO personally3+ month contract maybe longer

I am looking for someone who can wear a few hats who is new to the staffing and has perhaps done some staffing coordination mixed with some perhaps office management. Great Chance to learn many things and have great visibility in the company and other executives as well as the actual hiring managers.
Requirements:
Everything lives in the cloud, e.g. Google calendar, docs, spreadsheets, etc
Everything gets documented, so anyone can step in and pick up where someone else left off, days or months later.
Hiring managers have zero time, so minimize email and phone correspondence, create great online templates, and prescreen candidates.
Be brief and direct. No one has time to read more than a sentence or two, and then they just want a quicklink to the next step.
This role must be accomplished in a "clean room," whereby Shipwire recruiting efforts stay exclusive to Shipwire.
Road to be built, managed actively for 2-3 months, and then intermittently thereafter:
Centrally manage multiple recruiters
Create Google Spreadsheet 1 (Recruiter Tracking), where:
Recruiters under contract with Shipwire are listed out, including contact info
Recruiters are prioritized and categorized, based on where they are successful
Actively manage recruiters, to be excited and on-target with their candidate submissions
Where appropriate, give feedback on why candidate submissions don´t fit
Source new recruiters for specialty positions, e.g. European and Asian sales reps, outsourced engineering teams, etc
Source candidates
Create and manage job postings (Linkedin, Craigslist, Doostang, oDesk, etc)
Create Google Spreadsheet 2 (Job Postings), where:
Direct links to job posting sites are listed out, categorized, and prioritized. Include pricing, Shipwire login info, etc
Manage LinkedIn outreach
Create Google Spreadsheet 3 (LinkedIn Tracking), where:
Linkedin candidates are listed who should be outbound contacted, and by whom at Shipwire (you, CEO, CTO, etc)
Draft text for outbound outreach (templated, and personalized where appropriate)
Search Shipwire´s in-house resume database
Database is kept inside Google Docs
Add inbound resumes to Shipwire database
Receive resumes via gmail, save them into google docs, and categorize them
Review and prioritize all new resumes
Tag their priority inside of Google Docs
Schedule phone and in-person interviews
Setup www.timetrade.com or some equivalent to automate interview scheduling
Manage pipeline of new hires
Create Google Spreadsheet 4 (Job Tracking), where:
Shipwire hiring managers can submit job requests, and position parameters
Position parameters should be sufficient for creating job post and doing Linkedin outreach
Shipwire recruiters can manage progress of candidates
Create Google Spreadsheet 5 (Candidate Tracking), where
Shipwire hiring managers can track specific candidates for specific positions
Shipwire recruiters can track next steps for each candidate
Create Google Spreadsheet 6 (Project Tracking), where:
Shipwire hiring managers can submit project requests, and parameters, e.g. "consultant to upgrade help center"
Create Google Spreadsheet 7 (Consultant Tracking), where
Shipwire-approved consultants are listed, including rate, contact info, contract status, point person, etc.
Create Google Doc 1 (Recruiting Instructions), with instructions for:
Hiring process, including:
Recruiter management, e.g. how to keep them excited, on-target, give them feedback, and when and how to source for new ones
How to create job postings (create "the Shipwire template" for job postings, including SEO)
How to filter Linkedin candidates, and search Shipwire´s in-house database, e.g. demote anyone with 3+ jobs in last 5 years, try adding "awards" to search criteria, promote anyone with 3+ job recommendations.
How to add inbound resumes to Shipwire database
How to categorize, prioritize, and manage the candidate workflow, across the Shipwire in-house database, Google Docs, and Linkedin
How to schedule interviews, including a crash course in how to use any scheduling technology
Recruiter Tracking spreadsheet
Job Posting spreadsheet
LinkedIn spreadsheet
Job Tracking spreadsheet
Candidate Tracking spreadsheet
Project Tracking spreadsheet
Consultant Tracking spreadsheet
Create Google Doc 2 (On Boarding Instructions), with instructions for:
On boarding process
E.g. (1) 10 minute phone prescreen, (2) 1st in person interview by hiring manager, (3) 2nd interview with 2 members of team, etc
Sample interview questions, for phone screen, etc
Documents provided, and at what point, e.g. NDA, Application
Hiring checklist and templates, e.g. email of congratulations, etc.
Internal checklist and templates, e.g. key, alarm code, entry into payroll, etc
