Title: Executive Assistant
Location: Menlo Park, California
Role and Responsibilities:
As a member of the firm's administrative staff, the executive assistant is primarily responsible for supporting the needs of two partners. Additionally, the position requires working collaboratively with the other assistants to load balance the firm's needs.
• Proactively manage/maintain active business and personal calendars and contact information.
• Schedule meetings inside and outside of the office with portfolio companies, other venture capitalists, entrepreneur's and interview candidates. These meetings often require a number of email or phone exchanges and coordination with assistants at other firms.
• Assist in managing large inbound email streams.
• Communicate with CEOs, board members, and advisors regarding board meeting and events.
• Create and edit Powerpoint presentations.
• Assist with the planning and coordination of events
• Keep the firm's website, Facebook, Twitter and LinkedIn accounts up to date.
• General administrative duties including processing expense reports, greeting guests, ordering supplies, filing documents (online and offline), organizing the partner's offices, answering the phone, and ordering daily lunches.
Qualifications:
• Minimum of 5 years of experience as an Executive Assistant.
• Experience managing highly confidential information and sensitive data
• Team player who gets along well with both the partners and the administrative staff.
• Ability to operate in a professional, fast-paced environment and juggle a number of responsibilities at the same time.
• Positive, warm, professional, energetic attitude.
• Multi-tasker with extreme attention to detail.
• Excellent written and verbal communication skills.
• Motivated self-starter who proactively identifies and prioritizes tasks.
• Undergraduate degree required.
• Proficient in Outlook and Microsoft Office (Word, Excel, and Powerpoint). Working knowledge of Salesforce a plus!
• Familiarity with social media.
Ideal Past Experience:
• Assistant to a CEO or
• Assistant in a private equity, venture or law firm or
• Experience working in a hospitality/professional services environment with high-end, demanding clientele.
