The Executive Administrative Assistant will report to the Executive Director. This position is responsible for organizing and coordinating the day-to-day functions of the executive office and in general the main office in order to ensure organizational effectiveness and efficiency.
Responsibilities
� Assist the Executive in managing administrative duties by reading, researching and routing correspondence, drafting correspondence and follow through with final copy.
� Screen calls and visitors for the Executive and provide appropriate follow up.
� Maintain calendars, schedules and coordinate meetings.
� Manage projects and functions related to planning, special projects, and staff meetings. Advise Executive of daily progress.
� Serve as Board liaison by handling meeting agendas, board packets, and compilation of information, including board minutes and coordination of Board and committee meetings and reports.
� Provide status reports on executive office projects to assure assignments, daily duties and special projects are completed by leadership and executive office.
� Schedule and take minutes for all management and staff meetings.
� Responsible for effective flow of information to staff and keeps Executive informed of issues, new initiatives and projects.
� Maintain the integrity of confidential information and records of the agency.
� Maintain a professional, helpful presence with sensitivity to cultural diversity.
� Assist with the coordination of special events throughout the year as assigned.
� Design and implement main office policies and procedures including correspondence.
� Review and approve supply requisitions.
� Maintain office equipment (exclusive of computers, phones and office furniture).
� Responsible for maintaining and organizing files, confidential agency information, and documents. Design and maintain up to date filing systems, ensuring protection and security of files and records
� Develop and maintain agency-wide calendar and facilities usage calendar
� Plan and implement office systems, layout and equipment procurement
