Executive Assistant/Sales Coordinator Position
I. Job Responsibilities
Sales Functions
• Direct responsibility for M360 Salesforce database process and accuracy, including meetings, tasks, accounts, contacts, opportunities, reports, training, feature sets, use policies, etc.
• Direct responsibility for ad platform partner Salesforce database process and accuracy, including meetings, tasks, accounts, contacts, opportunities, reports, training, use policies.
• Personal responsibility and management of proposals and quotes with ad platforms, agencies, and clients, both directly and in conjunction with M360 field salespeople and ad platform contacts.
• Responsibility for managing directly, and with sales personnel, direct agency and client interaction via phone and e-mail with regards to meeting scheduling, advance meeting preparation, meeting follow-up, RFP requests and responses, IO management, campaign scheduling, campaign coordination with ad platforms, campaign reports, and wrap-up call scheduling.
• Responsibility for setting, organizing and conducting regular weekly M360 office meetings on Monday and Friday for internal M360 management.
• Responsibility and management of use guidelines and updates to essential documents pertaining to Media 360 Ad Platform Clients (in Google Docs).
• Management responsibility for guidelines, consistency and simplification of all Process and Procedures.
• Responsibility for recruiting and interviewing potential sales personnel candidates.
• Management responsibility for training sales personnel on Salesforce, sales policy and procedure, ad platforms and presentations.
• Responsibility for complete understanding of each Media 360 ad platform and proven ability to discuss effectively via phone and e-mail.
• Complete responsibility for researching and maintaining knowledge and accuracy of account/agency relationships, and management of sales personnel account relationship assignments.
Marketing Communications
• Direct responsibility to plan, initiate and manage outbound correspondence such as e-mails, send-outs, thank-you notes, and gifts (excluding prospecting).
• Direct responsibility, and management responsibility of support personnel, for social networking strategy and implementation (including, but not limited to, Twitter, Facebook, LinkedIn, etc.).
• Direct responsibility, and management responsibility of support personnel, for coordinating events hosted by Media 360.
Technology
• Direct responsibility for Salesforce functions, features, updates and use process.
• Direct responsibility for social technology and use process and efficiency.
• Direct responsibility for web site features, updates and functionality.
Administrative
Manage office (supplies, upkeep, landlord, internet, equipment, etc.
Maintain internal and external meeting schedule
Manage convention schedule
Draft and send monthly client invoicing
Complete and bill expense Reports
Manage payroll
Manage all travel
Performance Measurement Criteria
Salesforce
Salesforce – Daily accuracy of Salesforce account/forecasting details
Sales Process management and accuracy
Marketing Communications
Timeliness of client meeting follow-up
Timeliness of social media updates
Quality of Media 360 hosted events (in person and via web)
Technology
Robustness of Media 360 Salesforce as compared to overall capabilities
Quality of Media 360 web site
Requirements – College degree, base knowledge of Salesforce.com, base knowledge of social media, highly organized, base knowledge of internet and wireless, ability to multi-task, ability to communicate via phone and mail at a high level
Compensation – Commensurate with background, domain knowledge and ability.
Work Schedule – Full time (may consider flex work schedule for the right candidate)
