Job Description

 

Office Manager  

Purpose:

IvyClimbing is a small education consulting company located near Sunnyvale Costco. We're seeking an Office Manager (80% -100%) who supports administrative functions and provides critical support for IvyClimbing offered programs, services, and classes.

 

The candidate must speak English and Chinese.

Responsibilities include:  

The Office--

  1. Greet visitors; serve as first point of contact  
  2. Schedule meetings; answer office phone. Take minutes. Track project timelines and keep others informed of deadlines. Maintain the office calendar  
  3. Maintain student records. Process paperwork. Order office supplies
  4. Keep the office clean, organized, and professional at all times
  5. Process financial transactions and run monthly reports
  6. Arrange annual staff retreat and travel, register for conferences; support events
  7. Assist supervisor with administrative projects and HR support

Classes--

  1. Assist instructors in the preparation and delivery of courses that are offered a few times each year; update schedules; create contact information
  2. Prepare and copy course materials and packets; liaison with instructors; handle logistics
  3. Order supplies, food, and other needed items

Technology Support--

A.    Update website

B.    Manage the publication of newsletters, surveys, and events in ConstantContact

C.     Set up the classrooms for technology readiness

D.    Act as the main technical coordinator for the office

Qualifications

  1. Available to work on weekends and evenings and willing to adapt to changing needs.
  2. Strong ability to take initiatives and work with minimum supervision. Self-starter
  3. Tact and discretion in handling confidential information
