An exciting opportunity is available for an Administrative Assistant at Nypro Inc firm,
You will provide a high level of administrative support to the team ensuring day-to-day administrative operations are completed accurately and efficiently.
Responsibilities:
Compose and produce routine and confidential correspondence, management reports and presentations using Word, Excel and PowerPoint.
Develop appropriate systems, procedures and controls to continually enhance the accuracy, timeliness and presentation of routine documents, processes and management reporting.
Arrange and coordinate domestic and international travel; Compile documents for travel-related meetings and keep track of travel expenditures against budget.
Coordinate events or conferences including facilities and catering. Issue information or invitations and coordinates speakers.
Schedule meetings, prepare agendas and other related documents; record and transcribe minutes of meetings.
Provide assistance in coordination of projects for the team. Conduct research, compile and produce statistical reports. Maintain filing system/s; database and spreadsheet files.
Answer and screen telephone calls and deal with inquiries in an appropriate manner in their absence. Coordinate managers' schedules and appointments.
Arrange conference calls and video conferencing. Organize building access passes for scheduled visitors through the appropriate process.
Order and maintain office supplies. Process supplier invoices to ensure timely payment.
Reconcile monthly corporate credit card statements for management team.
Prepare documents outlining and explaining administrative procedures and policies to staff, and monitors compliance.
Coordinate onboarding program for new employees.
Ad hoc duties as required.
4-6+ years experience as an Administrative Assistant in large corporate environment. Strong ability to work cooperatively and positively with both internal and external clients at all levels.
Excellent Microsoft office skills - Word, Excel, PowerPoint, and Outlook. Must have a professional style and the ability to maintain confidentiality on a wide range of issues.
Must be highly organized and strong attention to detail.
Strong verbal and writing skills. Must be a team player and have the ability to navigate through a busy environment with a flexible and positive approach.
