Wales Investments, Inc. is seeking an experienced administrative assistant to join our team!

Wales Investments provides comprehensive fee-based wealth management services to individual clients, business owners and institutions. We utilize a customized approach in analyzing and planning a client's investment portfolio, estate plan, cash flow, income taxes and retirement. Investment strategy recommendations are based solely on the client's specific needs, circumstances and goals. We update financial plans periodically to ensure that the client's needs are reflected in the current investment strategy.

Administrative Assistant

San Jose, CA

Responsibilities

- Strong customer service and client management skills very important

- Provide general administrative and clerical support including mailing, scanning, faxing and copying to management

- Maintain electronic and hard copy filing system

- Open, sort and distribute incoming correspondence

- Perform data entry and scan documents

- Manage calendar for Managing Director

- Prepare and modify documents including correspondence, reports, drafts, memos and emails

- Schedule and coordinate meetings, appointments and travel arrangements for Managers

- Run company's errands to post office and office supply store

- Assist in resolving any administrative problems

- Run reports in financial software

- Light accounting and Quickbooks knowledge a plus

Qualifications:

- Bachelor degree required – financial services background a plus

- 5+ years of hands on administrative support experience

- Proficiency in MS Word, MS Excel and MS Outlook a must

- Knowledge of operating standard office equipment

- Excellent communication skills – written and verbal

- Ability to prioritize projects and strong problem solving skills

- Good research skills and attention to detail and strong organizational skills

- Ability to multi task and manage filling and paperwork efficiently
