Great Opportunity For Sales and Marketing Assistant with QuickBooks Skills!
Media Vision USA, a communications and technology solutions company, is growing and is looking for a versatile Sales and Marketing Assistant with a wide range of skills.
Our ideal candidate loves to multi-task, enjoys managing a variety of responsibilities and has strong customer service skills, AR/AP, payroll and Quickbooks experience, proficiency with MS Office Suite, mixed with a variety of strong administrative skills and experience. This position is responsible for all bookkeeping and payroll activities, reception, and facilities, managing client appointments and phone calls, maintaining client files, data entry, and performing various duties, including but not limited to: typing, copying, taking phone messages, answering client questions, restocking supplies, cleaning work area, preparing, sending and tracking outgoing mail and packages as well as the administration support of the Executives and Media Vision USA team.

Job Responsibilities (A full job description can be emailed to candidates upon request):
- Client and Office Support – 50%
• Greet arriving clients and provide strong customer service
• Answer multi-line phone system and manage calls accordingly
• Schedule appointments, both in person and over the phone
• Instruct clients regarding custom order options
• Manage employee requests for time-off and enter employee attendance into spreadsheet
• Print client schedule for the following day(s) and pull client files
• Maintain updates of client files
• Assist Executives with special projects as requested.
- Payroll – 20%
- Facilities – 15% - Responsible for the maintenance, cleanliness, and alteration of office areas and office equipment. Serves as Safety Coordinator.
- Accounts Payable/Receivable – 10%
• Create customer invoices in QuickBooks
- Purchasing – 5% - Responsible for all ordering, receiving and stocking as well as negotiating purchases.
We offer a friendly, comfortable, business-casual environment in a convenient location, benefits and compensation of $15.00 to $18.00 an hour, commensurate with experience. This is a full time position Monday – Friday 8:00-5:00 p.m. (with some flexibility and occasional weekend projects) in our Oakland location.

Requirements:
• Have 3+ years both bookkeeping and general administrative background.
• Skills: Advanced Quickbooks; Strong MS Office: Outlook, Word, Excel, Power Point.
• Ability to work in a fast paced environment, manage a multi-line phone system and schedule appointments.
• Superior attention to detail, and ability to establish priorities and meet deadlines.
• Excellent organizational, analytical, interpersonal and communication skills - written and verbal (excellent spelling and grammar).
• Personality: Upbeat, energetic, dedicated, takes initiative, detail oriented, takes pride in work.
• Excellent customer service skills.
• Must be willing to take on all manner of assignments, be flexible and a team player.
• Demonstrated ability to handle multiple projects and details simultaneously and a drive for neatness.
• Ability to maintain a flexible attitude and approach toward assignments and successfully operate under ambiguous guidelines in a changing environment.
• Possession of a high school diploma or equivalent (GED).
• Must have valid driver's license and car insurance.
• Possess a professional appearance and a stable, solid work history.
Preferences:
• Prefer AA degree or greater.
• Prior experience in sales and marketing.
• Trade Show Coordination experience.
• Familiarity with SalesForce a plus!
• Spanish, Mandarin and/or French Speaker a plus!
